Job Description

The start date for this position is September 1, 2017 or later.

This position serves as the administrative support staff for the Department of Education. This position is responsible for departmental duties including: departmental receptionist, prepare or assist in the preparation of departmental documents, distribution of incoming and out-going mail, document maintenance, purchase department equipment/supplies, maintain departmental inventory and inventory documents. Additionally, this person assists faculty and student needs within the department.

Work performed includes:

Maintain departmental records (including, but not limited to: employee personnel records, budget records)

Prepare and/or assist in the preparation of required University documents related to:

Personnel forms
Provost/VPAA forms
Information Technology forms
Departmental meeting minutes
Records Retention and Destruction
Notification of Absences
Procurement card logs
Travel reimbursement documents
Budget Adjustment Requests
Consultant or other third part payments and reimbursements

Answer a multi-line telephone, assist with managing messages, maintain daily flow of operations.

Purchase and maintain departmental equipment/supplies.

Student worker supervision.

Prepare memos, letters and other clerical assistance.

Prepare the departmental budget for graduate assistants each semester.

Provide customer service for all individuals that enter the departmental office

Other duties as assigned

Necessary Qualifications

High school diploma or equivalent combination of education and experience.

Three years of related experience.

Excellent customer relations skills.

Working knowledge of Microsoft Office.

Good oral and written communication skills.

Ability to multi-task and work cooperatively with others.

Minimum Skills Required No Minimum Skills Test Required
Preferred Qualifications

Some college.

Five years clerical/secretarial experience.

Experience with Colleague.

Experience with procurement cards.

Experience with budgeting and reconciling funds.

Experience within a college or university setting.
