Job Description

The Administrative Associate II provides administrative, secretarial, and management assistance through delegated assignments. Performs advanced secretarial duties. Responsible for general office management and independent performance of technical and clerical administrative duties.

Work performed includes:

Acts as receptionist for the department: greeting students, faculty, administration, and industry partners. Answers and directs phone calls and inquiries from all sources.

Uses personal computer for the preparation of documents and reports, including class schedules, purchasing documents, etc.

Records, organizes, and files materials.

Oversees maintenance of departmental equipment.

Routes incoming mail.

Operates copier and fax machines.

Composes memoranda and similar correspondence.

Maintains and audits departmental budget.

Other duties as assigned.

Necessary Qualifications

High school diploma or equivalent combination of education and experience.

Two years of related experience.

Significant experience with MS Word and Excel.

Excellent written and oral communication skills. Self-starter with the ability to organize complex and confidential assignments. Ability to handle large volumes of work and complete such tasks.

Preferred Qualifications

Some college (science or technical training preferred).

Two to three years of secretarial or clerical experience.

Experience with PowerPoint.

Familiarity with university procedures helpful. Experience dealing with state government helpful.

Experience dealing with a variety of customers a plus. Experience in purchasing, contracts, and billing is a plus.
