Position Title Administrative Associate IV
Job Description

The Administrative Associate IV will manage the day to day activities in the office which includes student workers, faculty, staff or visitors who come into the office or who call the office. They will coordinate administrative processes of reports, social media sites, as well as organize details for events, meetings, and workshops. They will also coordinate and maintain daily calendar for Chief Diversity Officer and for the office events.

Work performed includes:

Coordinates and maintains the daily calendar for the Chief Diversity and Inclusion Officer and organizes details for all meetings, events, workshops, and retreats; answers main office telephone line, and meets and greets office visitors.

Coordinates administrative processes for office procurement and for office travel, payroll, budget, reimbursements, and reconciling accounts, such as for diversity programs, guest speakers, faculty, student, and staff development.

Assists with all projects, reports, and website monitoring, and provides administrative support for specialized projects, such as Office Desk Reference, Office Policy and Procedures Manual, Office Operational Manual, and the collection of quantitative data.

Assists the Chief Diversity and Inclusion Officer with the coordination of faculty, student, and staff events.

Supervises Graduate Assistant, Student Worker, and/or Unpaid Intern.

Other duties as assigned.

Necessary Qualifications

High School diploma or equivalent combination of education and experience.

Four years of related experience.

Ability to work in a high energy, flexible, team environment; learn new equipment; moderate level of Excel, PowerPoint; draft or revise documents from verbal information or sample copies; proofread work to be error free; plan; set high priorities daily; meet daily, weekly, monthly, and annual deadlines; supervise student worker(s); organization; ability to multitask and work with multiple deadlines daily and weekly. Excellent interpersonal, organizational, communication, critical thinking, and writing skills. Able to uphold confidential nature of working environment. Skills in computer word process and databases required. Professional demeanor. Ability to proofread and develop monthly and annual reports.

Preferred Qualifications

One year of college.

Three to five years of experience as an events coordinator.

Experience working with multiple levels of people and/or constituents with multiple requests, or concerns about diversity and inclusion. Experience working with people from different backgrounds. Experience planning programs, workshops, and retreats, with multiple contacts and follow through, and assessment for programs. Budgetary and purchasing experience and developing budget reports.
